Part-time Finance Manager for Fabrica
Fixed term contract 1 September 2012 to 31 March 2015, to start as soon as possible.
Salary: £10k for two days per week.
Probationary period: 3 months, with one week's notice on either side during this period.
Following a restructure of its senior management team earlier in the year and new funding secured from the EU for the next 3 years, Fabrica is seeking to appoint an experienced Finance Manager with some knowledge of Human Resources, on a fixed-term contract, for two days per week.
This post reports to one ofFabrica's two Co-Directors and will also take responsibility for managing some aspects of the work of the Project Assistant/Bookkeeper.
Main tasks
1. To work with the Co-Director (Operations, Finance and Programmes) and the Project Assistant/Bookkeeper to maintain a detailed financial overview of all of Fabrica’s activities.
2. To prepare and monitor budgets and cashflows; prepare quarterly financial reports to the Board; and work with Fabrica's accountant to prepare end of year accounts.
3. To assist the Co-Directors (and others, if required) in the preparation of project budgets, for inclusion in bids for funding.
4. To advise the Board on current and proposed legislation that relates to its responsibilities as an employer (e.g. contracts, pensions, etc.)
5. To lead on the implementation of policy in relation to human resources (e.g. ensuring that contracts are up to date, that sick days and holiday are recorded, etc.)
6. To maintain financial records and processes that ensure Fabrica’s finances are properly controlled and managed.
7. To support the Co-Director(s) in maintaining clear finance and administrative processes that support the organisation’s growth and stability.
Tasks in more detail
• Ensuring that the financial management programme, Quickbooks, remains appropriate to Fabrica's needs.
• Managing the Project Assistant/Book Keeper in maintaining accurate financial records.
• Preparing the monthly payroll and fees, and ensuring timely payments to HMRC.
• Authorising BACS payments.
• Reconciling bank statements to produce monthly management accounts, profit and loss accounts, and balance sheets, using Quickbooks.
• Working with the accountant/auditor to prepare the annual accounts.
• Monitoring funders' conditions of grant and meeting their requirements for drawing down funds and reporting on the funds received.
• Advising the Board and/or its working groups on the strengths and weaknesses of incomegenerating opportunities, as they arise.
• Reviewing contracts with the providers of utilities and other essential services.
• Preparing and presenting financial reports to the Board at its quarterly meetings.
• Liaising with the Company Secretary (a Trustee) to ensure that the requirements of the Charity Commission and Companies House are met.
• Ensuring that the staff handbook (last revised in 2010) is up to date.
• Overseeing the issue and/or renewal of employees' and freelance contractors' contracts.
• Maintaining records of staff holidays, sick days, etc; CRB checks; health and safety inductions for new staff, etc.
Person Specification
The successful candidate must have:
• Experience of working as a Finance Manager for a small charity/not for profit organisation, or as a senior member of a Financial Management team in a larger organisation.
• An excellent working knowledge of Quickbooks and of alternative financial management software packages for Apple Macs or PCs.
• Experience of working for an organisation with multiple sources of earned, granted and donated income, from within the UK and from the EU.
• Good communication skills and the ability to deal with a range of people and situations.
• Good time management, organisational and administrative skills.
• Self-motivated, with the ability to work as part of a team.
• Unflustered under pressure.
• A willingness to work outside normal office hours, when needed.
• Knowledge of the Human Resources requirements of a small organisation and a willingness to advise the Board on their implementation.
• Willingness to support the Co-Director (Operations, Finance & Programmes) in other tasks as needed. (A summary of the Co-Director's remit is provided at the end of this document)
